Pre-publish checklist (delete before publishing): verify current plan names and prices for all three. This is a head-to-head page — readers will trust it less than anything else if a price is wrong.
If you’ve narrowed your CRM choice to these three, you’ve already filtered out the noise. The question now is which one matches how you actually work — not which has more features on a checklist.
Here’s the short version, then the detail.
The 30-second answer
- Dubsado — you want your workflow to run itself. Best automation, steepest setup.
- HoneyBook — you want one polished, all-in-one place to look professional from day one.
- Pixieset — you’re a photographer who wants CRM attached to the gallery delivery you already use.
Head-to-head
| HoneyBook | Dubsado | Pixieset | |
|---|---|---|---|
| Starting price | ~$16–$40/mo | ~$20–$40/mo | Free tier; paid from ~$10/mo |
| Automation | Good | Best-in-class | Basic |
| Galleries / delivery | No | No | Yes — the core feature |
| Setup effort | Low | High | Low |
| Client portal | Yes, polished | Yes, customizable | Yes |
| Best for | All-in-one simplicity | Automation-heavy workflows | Photographers already on Pixieset |
HoneyBook — the polished all-in-one
Strengths: it looks professional out of the box. Contracts, invoices, scheduling, and a client portal in one place, with almost no setup. Clients see a clean, branded experience.
Weaknesses: the bundled pricing means you pay for parts you may not use, and heavy automation isn’t its strong suit compared to Dubsado.
Pick it if: you want to look buttoned-up immediately and you’d rather not configure anything.
Dubsado — the workflow engine
Strengths: the most powerful automation of the three. You build workflows once and they handle questionnaires, contracts, invoices, and reminders automatically. Deeply customizable.
Weaknesses: that power has a price in setup time. Expect a real weekend of configuration before it earns its keep, and a busier interface every day after.
Pick it if: you do enough volume that automating the boring parts pays for itself, and you enjoy configuring systems.
Pixieset — the photographer’s ecosystem
Strengths: galleries are excellent, and having CRM next to delivery means one login and one bill. The free tier makes the entry cost nearly zero.
Weaknesses: it’s a delivery-first tool, so CRM and automation are lighter. If you need HoneyBook or Dubsado-level automation, it won’t get you there.
Pick it if: you already deliver through Pixieset, or galleries are the centre of your client experience.
How to decide in one question
Ask: what’s the one thing I want this tool to do that I’m currently doing by hand?
- Sending the same onboarding steps over and over → Dubsado.
- Looking professional with zero setup → HoneyBook.
- Getting galleries and admin into one place → Pixieset.
Everything else is detail you can live with.
Two things all three share
- None of them are cheap at the top tier. All three have plans that run $40+/mo. If you’re paying that and using two features, that’s your real problem — not the brand.
- Payment processing fees are separate. Whichever you pick, expect roughly 2.9% + $0.30 on card payments. The subscription is rarely the biggest cost.
Pick the one that removes the task you hate most, run it for a season, and re-evaluate. All three will still be here.
